Uploading Letters

Learn how to scan your client post and upload it to ComplyPost. The platform reads every page, separates individual letters, classifies each one, and matches it to the right client — ready for you to review and deliver.

Preparing Your Scan

Load all your client letters into the document feeder and scan them into a single PDF. There's no need to sort by client or separate individual letters — ComplyPost detects where one letter ends and the next begins automatically.

  • Scan at 300 DPI — this gives the best results when reading text from scanned pages.
  • Use colour scanning where possible — it helps identify letterheads and logos which improves classification accuracy.
  • Keep pages in order — pages are processed sequentially to determine where each letter starts and ends.
  • Maximum file size is 100MB per upload (typically 500+ pages).

Tip

Most office multi-function printers can scan an entire stack of letters into one PDF using the automatic document feeder. This is the fastest approach — scan once, upload once.

Wait for processing

ComplyPost processes your file in three stages:

  1. Reading pages — Every page is read and the text extracted. This typically takes 2–3 seconds per page.
  2. Separating letters — The platform identifies where each individual letter starts and ends.
  3. Classifying — Each letter is categorised by sender type (HMRC, Companies House, banks, etc.), urgency, and matched to a client.

You can safely navigate away from this page while processing runs. You'll see a notification when it's complete.

If a letter is matched to the wrong client, you can change it before confirming. Click the client name to search and select the correct one.

Scanning Tips for Best Results

  • Remove envelopes — scan the letters themselves, not the envelopes.
  • Flatten folded pages — creased pages can affect text reading accuracy.
  • Check for blank pages — blank pages between letters are handled fine, but removing them reduces processing time.
  • Stapled documents — multi-page letters (e.g. a 4-page HMRC notice) should be kept together. ComplyPost detects where each letter starts and ends automatically.

Email Ingestion

If you receive digital correspondence via email (PDF attachments from regulators, banks, etc.), ComplyPost can process them automatically. Set up an ingestion address in Settings → Email Ingestion, then forward emails with PDF attachments to have them processed and classified alongside your scanned post.
