Guide

Getting Started

This guide walks you through setting up ComplyPost from scratch — creating your account, adding clients, and processing your first upload. Most firms are up and running within 10 minutes.

What is ComplyPost?

ComplyPost is a post-management platform built specifically for UK accountancy and company secretarial firms that provide a registered office address service.

Instead of manually sorting, scanning, and forwarding client mail, ComplyPost automates the entire process. You scan your post into a single PDF, upload it, and the platform does the rest — separating each letter, identifying the sender (HMRC, Companies House, banks, solicitors, etc.), matching it to the right client, and delivering it by email or through the client portal.

How It Works

  1. Scan your post — Use any office scanner to create a single PDF of all your client mail (one letter per page, or multi-page letters — ComplyPost handles both).
  2. Upload the PDF — Drag and drop it into ComplyPost. There's no need to pre-sort by client.
  3. Automatic processing — ComplyPost reads every page, finds where each letter starts and ends, identifies the sender and urgency, and matches it to the correct client.
  4. Review & confirm — Glance through the results, correct anything if needed, then confirm.
  5. Deliver — Send letters to clients by email with a customised template, or publish them to their client portal.

Set up your organisation

After signing in, you'll be guided through a short onboarding process. Enter your firm's name and Companies House number — ComplyPost will pull in your registered address automatically so you don't have to type it.

Choose your plan. The free tier includes 100 pages per month — enough to try things out with real correspondence. You can upgrade to Starter (£31.99/mo) or Pro (£74.99/mo) at any time.

Enter your firm name and Companies House number. Your address is populated automatically.

Note

If your company number is entered during onboarding, ComplyPost will also pull in director details from Companies House.

3

Add your first clients

Go to Clients in the sidebar and click Add Client. Enter the company name, Companies House number (recommended for better matching), and a contact email address where letters should be sent.

If you enter a Companies House number, ComplyPost will fetch the company's registered address and directors automatically, saving you the data entry.

Tip

The more clients you add upfront, the better the matching works when you upload your first batch of post. ComplyPost matches letters by company name, reference numbers, company number, and address.

4

Upload your first PDF

Navigate to Uploads and drag your scanned PDF into the upload area. ComplyPost supports any PDF — from a single letter to hundreds of pages of mixed client post.

Processing typically takes 2–3 seconds per page. You can navigate away while it runs — you'll receive a notification when it's done.

Review and deliver

Once processing finishes, open the upload to see each letter laid out with its detected sender, category, urgency level, and matched client. Letters that need your attention (unmatched clients, high-priority items) are flagged automatically.

Review the results, then click Confirm on each letter (or use Confirm All for the entire upload). Once confirmed, you can send letters to clients by email or through the portal.
